Producing Children’s Plays and Musicals – 7 Fundraising Ideas To Help Cover Costs


Fundraising. No one likes it, but we all gotta do it. With funding for the arts limited more than ever nowadays, it’s often up to the theatre troupe itself to raise most of it’s money for a production.

I asked a few directors and drama teachers what methods they used to cover costs. Combined with some of my personal experience, I compiled a list of some proven ways to raise money for your next children’s play or musical.

1. Local Business Ads in Playbill

Approach local businesses and ask them to consider taking out a small ad in your program or “playbill”. Come prepared with a standard letter that outlines the program and the benefits it serves the community, as well as how many people you expect will “see” the ad. I typically see pricing along the lines of: $25 for business card, $50 for ½ page, $100 for whole page. Heck, while you’re there you might as well ask if you can put a flyer up on their window. Make a special announcement before the show encouraging the audience to patronize the businesses in the program. Tell your audience to thank them for supporting the “(your name) Theatre Program”.

2. Feed Them

People love food. And people will pay for food. One school I spoke with offered a dinner/show option for one night of the performance. Tables were set up in the auditorium and attendees paid for a “VIP” dinner/show ticket. If you can get a local restaurant to sponsor this (Hey, 200 people trying out your good eats!) then you can raise some serious cash. If a full dinner isn’t an option, you can always sell themed treats before and after the performance.

3. Lines in Program

Save a page in your program for “Star Notes”. For $5 or so a line, friends and family of the cast can write a personalized note to be printed in the program.

Variation: Backstage notes, or “Star-grams”. For a $1 donation, audience members can send notes backstage to cast and crew members right before the performance.

4. Sell DVDs

Hire a professional videographer to film the production, and have DVD order forms available to fill out at the performances. If possible, encourage the videographer to interview the kids before the show and include it as a DVD “Extra” – this always adds a very special touch.

5. Personalized Posters

Find a photo-shop whiz-kid to help you design a custom-made poster for your production. Consider personalizing them with each actor’s name as a “star” and offer them as an optional purchase to the cast.

6. Sell T-Shirts

Create a T-Shirt with the show’s logo on the front and the cast list on the back. Sell it as an optional item for the cast and crew members.

7. Corporate Sponsor

For those particularly good at wheelin’ and dealin’, talking a large business or corporation into sponsoring your program can reap huge rewards. When approaching these big guys, make sure you have detailed information about your program readily available that highlights the positive impact theatre has on the community. Offer to put up a large banner of their choosing in your auditorium or outside your theatre, to mention their name before each performance, and/or give them prime space on the back of the program. Typically these sponsorships are in the $500+ range.

Fundraising For Social Change


If you work for (or with) a non-profit, this book is a must-read. Kim Klein (the editor) focuses on key problem all non-profits face: acquiring, retaining, and upgrading donors.

Acquiring is the process of getting new people to donate to your organization. Typically this is done with direct mail, web site asks, and some special events. The goal is to create an impulse donation.

Retaining is the strategy of converting an impulse donation into a habit.

Upgrading converts the “regulars” to give more than they have before. Typically this is done via a personal call, letter, or special “insider” event.

Finding Donors. Did you know that in 2004, 75.6% of contributions came from individuals (11.6% of foundations, 8% bequests, and 4.8% corporations)? Or, 7 out of 10 adults in the US and Canada give away money?

Asking For Money. What’s the #1 way to get donations? Ask for them! You need to identify people who: are able to make a gift, believe in your organization, and can be contacted. Formally, you ask for letter first with a letter detailing your organization and a request for monies for a specific need, following up with a phone call, and ending with a face-to-face meeting. Informally, a phone call followed by a letter would suffice.

Special Events. A special event is a two-fer: a fund-raising opportunity plus increased publicity. During the event, there must be a pitch to let people know now is the time to donate. Consider having some friends of your organization purposely start the donation process to break the ice.

Direct Mail. Use direct mail to: get someone to give for the first time, get donors to repeat their gift, and get donors to renew their gift. On a direct mail piece, expect less than 1% response (higher quality lists produce greater response) – so you’ll need to play the numbers game. Before starting a direct mail campaign, calculate the cost of the mailing vs. the likely result of the donation to arrive at a net income per donor. There a lot of information in the book about crafting the copy of the mail piece.

This book is a gold-mine of non-profit fundraising strategy. If you work with non-profits, read it often.

Breast Cancer Awareness Month – Fundraising Goes Corporate with Ford and Energizer


October is a month of awareness for Breast Cancer; It allows us to reflect on all those impacted by this very personal disease. Breast cancer does not discriminate; women and men alike are equal victims. Breast cancer hits home with each of us; Statistics reflect that we all have all had either a family member, friend or colleague become diagnosed with breast cancer.

The past 10 years have been successful in promoting the cause and foundations like the Susan G. Komen Foundation. This quickly growing foundation has created events like Race for the Cure and cancer walks across the country to raise funds to promote continued research and support for fighting breast cancer.

It appears as though these fundraising efforts have sparked the interest of various Fortune 100 companies like Ford and Energizer. Ford has created "Warriors in Pink" that highlights their commitment and desire to increase breast cancer awareness this month. The American car company created a limited addition Pink Mustang and proceeds go to the Susan G. Komen Foundation.

Other companies like Energizer have also jumped into show their support. Energizer's Power to Keep Going® campaign promotes awareness through cute down loadable desktop themes. More importantly, Energizer created ReTreat, a mobile mini spa designed to give breast cancer patients, survivors and caregivers the Power to Keep Going® with a chance to Relax, Recharge and Remain Strong. The companies pink batteries will be on shelves in Target stores the entire month of October.

As awareness continues and the funds from such corporate fundraising efforts increase, I hope we will see further strides in the research and fight against breast cancer.

How To Hold A Successful Basket Bingo Fundraiser


Bingo fundraising events have been around for decades. That’s because people love to play bingo and charities can earn several thousand dollars in just one evening of bingo. Many nonprofit organizations, clubs and schools have annual basket bingo events. There are some organizations whose basket bingo fundraisers have become so popular and lucrative that they hold basket bingos two and three times a year.

While your organization can earn as much as $5,000 for an evening of basket bingo, it does take quite a lot work and preparation behind the scenes to put on one of these fundraisers.

So what is a basket bingo fundraiser?

Basket Bingo is like regular bingo except that the prizes are all baskets. Most often the baskets are Longaberger baskets. The baskets are filled with products such as Longaberger accessories, gift certificates, candles, scrapbooking supplies, beauty products, gourmet foods, etc. Each filled basket can be worth several hundred dollars. This is a big draw for your fundraiser.

The typical basket bingo fundraiser lasts from three to four hours. Holding them on a Saturday afternoon or evening are good times.

The elements of a typical Basket Bingo Fundraiser are:

Admission Tickets

Admission tickets are usually sold for $20.00 at the door or $18.00 in advance. For this price each participant receives a book of Bingo sheets good for 20 games of Bingo. You an sell extra game books for $5.00 each. Some people will buy extra sheets to increase the odds of winning in each bingo game. You can also have a couple of special bingo games that people pay extra for. You should aim to sell between 100 and 200 admission tickets. If you sell 125 tickets for $20.00 a piece that will bring in $2,500. By holding raffles and selling food during the event you can bring in more money for your organization.

Raffle Prizes

In addition to prizes for each bingo game, you can also hold a raffle of a special prize. You can presell the raffle tickets and sell more during the event for an amount such as $1.00 or $5.00 per ticket. To maximize your earnings you should advertise the prize and presell tickets. Do not require that the winner be present during the drawing. The raffle prize doesn’t have to be a basket but should be a nice prize with a high dollar value. Longaberger wrought iron tables and accessories are good for raffle prizes.

Raffles for monetary prizes. 50/50 raffles are also a good way to raise more money during a basket bingo fundraiser. With a 50/50 raffle, tickets are usually sold for $1.00. At the end of the raffle one ticket is drawn and the winner receives fifty percent of the total amount raised by the sale of the tickets. The other fifty percent of the pot is kept by your organization.

Door Prizes

You can also have door prizes that you hold drawings for during the event. Give everyone who purchases a ticket to the event one raffle ticket for each prize. The door prizes are usually small items.

Food and Refreshments

Snack Bars and Concessions. Since the event will last for three to four hours you should have refreshments available for purchase. At some basket bingo events a buffet luncheon is served that attendees pay extra for. You can raise more money by having food donated. You may want to provide one free drink to everyone who purchased a ticket. Bake sales are also good earners during bingo fundraisers.

Professional Bingo Caller and Bingo supplies

A professional bingo caller is recommended because it takes a person with experience and bingo equipment to run a night of bingo. You will also need a master of ceremonies to be in charge of making announcements and keeping the activities moving.

The Prize Baskets

You will need to have a unique gift basket as a prize for each game of bingo. Longaberger baskets are good to use because they are collectible. There are a lot Longaberger basket collectors who might not otherwise be bingo players but will come to your event for a chance at winning a basket. Many Longaberger baskets are also created with a purpose so filling them with items based on a theme is easy. In order to make money on your fundraiser the baskets and prizes should be donated. YOu can contact a local Longaberger sales representative who can sell you the baskets and give you advice on how to fill them. Raising the money to buy the baskets, or getting them donated, and filling them will take time and money. If your organization is a school you can assign each class a basket theme and ask the families of the students to send in items to fill the baskets.

Realistically it will take a couple of months of work in order to hold a basket bingo fundraiser. You first need to decide if you will be able to assemble of team of volunteers willing and able to do it. After you have assembled your team then you have to get the word out that you need donations of baskets, money, and prizes. You also need to select the venue and date for the fundraiser. Then you will be well on your way to a successful basket bingo fundraiser.
